Assistant Director, Gaede Institute for the Liberal Arts at Westmont College

Position Summary: Under the supervision of the Gaede Institute Co-Directors, provides project management, content design, network cultivation, and other support for a designated portfolio of Lilly Endowment-supported programs that connect Westmont College to a variety of church audiences, including Trailhead, Frontiers, the Westmont Center for Thriving Communities, the Young Adult Leadership Lab, and the Incarnational Preaching Project. The assistant director also supports other Gaede Institute initiatives as needed.

Qualifications: a bachelor’s degree with 2-3 years of administrative experience; a master’s degree in a relevant field is preferred; experience in a congregational-ministry setting and/or experience with youth, young adults, or clergy is preferred; commitment to and understanding of the value of a liberal arts education; outstanding organizational skills and communication skills, including public speaking, editing, and writing; experience supervising others’ work is preferred; ability to create and maintain financial records and data-management systems; competence to learn and use Westmont software platforms; ability to interact effectively and graciously with diverse publics; personal affirmation of the Christian mission of Westmont College and the Community Life Statement and adherence to its behavioral expectations. This position requires occasional evening and weekend work and significant travel.

Responsibilities: 

Project management. Under the supervision of the Gaede Institute Co-Directors, provide project management for a designated portfolio of Lilly Endowment-supported initiatives, including Trailhead, Frontiers, the Westmont Center for Thriving Communities, the Young Adult Leadership Lab, and the Incarnational Preaching Project.

  • Develop and execute processes for program implementation, including event design, logistical planning, participant registration, promotion, and correspondence.
  • Serve as the primary contact for program applicants, participants, and alumni.
  • Contribute to grant-writing and annual reporting, including program design, program narration, and financial reporting.
  • Design and implement program-specific strategies for managing network data and communicating with key constituencies.
  • Track and report on grant-project finances.
  • Supervise logistics for designated Lilly Endowment-supported programs, including campus resources and external services.
  • Hire and supervise student workers.

Content design and presentation. Collaborate with Gaede Institute Co-Directors in content-design tasks associated with implementing Lilly Endowment-supported initiatives and other programs.

  • With Gaede Institute Co-Directors, affiliated faculty, and external presenters, design retreat, conference, lecture, and discussion content that embodies the purposes of the Gaede Institute and its initiatives.
  • Contribute to workshops and other program content for Gaede Institute programs.
  • Design and implement supplemental program resources, including newsletters, conversation guides, worksheets, and the like.

Network cultivation. In collaboration with Gaede Institute Co-Directors, maintain and expand the network of pastors, lay leaders, high school personnel, and community partners who support and contribute to Gaede Institute programs.

  • Serve as a promotional ambassador and conversation partner to pastors and their churches, representing church-facing Gaede Institute initiatives and the larger mission and purposes of the college.
  • Directly support churches participating in Gaede Institute programs, serving as a designated program liaison who helps pastors and congregational teams process new ideas, access resources, and engage program content.

Promotion: In collaboration with Gaede Institute Co-Directors, promote Gaede Institute programs to internal and external audiences.

  • Facilitate program-specific presentations for prospective parents and students, college alumni, Westmont staff and faculty, network schools and churches, and other key constituencies.
  • With the Gaede Institute Co-Directors, work with the Office of Enrollment, Marketing, and Communication to conceive promotional strategies for the Gaede Institute and its programs and to design promotional assets such as web content, print brochures, video material, and emails.
  • Create and sustain relationships with on-campus partners, including key staff offices and academic departments.
  • Collaborate with Westmont's Marketing Cloud Administrator and Communication Analyst to implement mass-marketing campaigns.
  • Maintain and enhance Gaede Institute websites and other public-facing materials.

General Support: As necessary, perform administrative functions related to Gaede Institute projects, including resource management, data management, VendorLink processing, calendaring, and other tasks.

Perform other duties as assigned.
