Events & Operations Associate at Saving Innocence

The Events & Operations Associate will assist in the coordination of staff and client events in order to ensure organizational effectiveness, efficiency, and confidentiality. The associate will be flexible to accommodate changing event details. This person will be exceedingly well-organized, flexible and will enjoy the administrative challenges of supporting an office of diverse people. Responsibilities will be prioritized based on a part-time job schedule.

Position Status: Part-time/Non-exempt

This position reports to: Community Engagement Specialist

Events Coordination

Assist with monitoring budgets and approved expenditures related to events.
Assist in planning, prepping, and executing staff and client events. Including but not limited to researching venues/vendors, booking final vendors, and packaging gifts.
Provide day-of assistance for event execution and needs.
Manage thank you cards and gifts for volunteers and donors.
Assist with staff care initiatives (staff birthday, anniversaries) by preparing gifts, gift cards, birthday affirmation messages.
Assist in creating systems for data collection surrounding events.
Assist in coordinating approximately 4-6 client Empowerment activities held on Saturdays. Including but not limited to facilitating the location of the event, day of support if requested by the Direct Service team, technology needs, and necessary items.
Assist in coordinating the annual client Empowerment Conference and serve as the point of contact while working with the direct service team.
Assist in planning all client-related celebrations, including liaising with volunteers for quarterly baby showers/birthday parties, and annual graduation celebration/holiday open house.

Volunteers

Assisting in Volunteer Program tracking, recruiting, and care.
Assist in creating systems for data surrounding the Volunteer Program. Including but not limited to inputting data into volunteer CRM, tracking volunteer records of hours, donations, event forms, and schedules.
Assist with creating reports and streamlining volunteer tracking and engagement.
Assist as a liaison between volunteers and internal staff to ensure all necessary information and tasks are ready to onboard a volunteer.
Assist with ensuring volunteer policies and procedures are followed.
Assist in planning and implementing formal and informal recognition activities to engage and thank volunteers for their contribution.
Assist in maintaining the volunteer calendar, arranging schedules for different departments and activities where volunteers are utilized. Ensures coverage of vacancies in key stations when volunteers do not show up or are unavailable.
Complete monthly reporting summaries of volunteer hours and project status.
Assist in coordinating with the Office staff to keep an inventory of event materials.
Responds to event and volunteer inquiries, phone calls, and e-mails within 24-48 hours.

Community Engagement

Assist in creating systems to track existing partnership information.
Invest in existing partnerships and keep them updated with needs and volunteer options.
Reaching out to potential partners to set up partnership meetings as assigned.
Represent SI at community events, fairs, and outreach opportunities with materials and knowledge surrounding engagement opportunities.

Operations

Provide as needed office and operational support.
Assist with organizational financial audits as required.
Attend internal and external meetings as assigned.
Additional duties to be assigned, as needed.

Required Skills:

Ability to work on Mac computers, required.
Proficient in Microsoft Office Suite and Google Suite, specifically pertaining to financial and data reporting.
Some CRM/database administrative experience.
Comfortable working independently and contributing to a dynamic team.
Ability to analyze information, solve problems, formulate logical conclusions to define the problem and make recommendations for effective solutions.
The ability to manage multiple projects simultaneously.
Flexibility in meeting deadlines and adjusting to changing priorities.
Tech Savvy and natural problem solver, eager to learn new technology and processes.
Excellent writing, organizational, interpersonal and communication skills.
Ability to work in fast-paced and growing environment in a shared office space.
Professional in appearance, demeanor, and service
Education, Training and Experience

Bachelor’s degree preferred or equivalent experience.
Minimum of 1 year of experience with event planning and volunteer management
Experience working with at-risk youth and/or in a non-profit organization is a plus
Knowledge of CRMs preferred, but not required.

Reliable transportation
All employees are screened through a thorough background check process.
Positions with financial responsibility will also undergo a credit check.
This position is required to be in the office 5 days per week.
This position will require availability to be in office as often as needed for events/meetings. Possible hybrid arrangement decided with the supervisor upon hiring.

Paid Vacation: Vacation is accrued at the rate of .0385 per hour worked, for part time employees (equal to a prorated 2 weeks of vacation based on weekly hours worked, i.e. if you work 20 hours per week, then 40 hours  vacation will accrue in a 12 month period). Vacation time will accrue beginning on the first day of employment, for use after the first 90 days. Vacation benefits increase after one year of full time employment and two years of full time employment.

Paid Sick Leave: 1 hour of sick time is accrued for every 30 hours worked, up to a maximum of 48 hours per calendar year for part-time employment.

Holiday Pay: (10 days annually, observed as follows) New Year’s Day, MLK Jr. Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day, Day After Thanksgiving, Christmas Eve, Christmas Day (Part-time employees are paid a prorated amount of hours based on their average weekly hours divided by 5 working days, i.e. employee works 20 hours per week, they are paid 4 hours per holiday)
