Job Title: Admin Assistant
Employment Status: part time (20 hours week: 8:30am-1:30pm Tuesday-Friday)
Reports to: Executive Director of Parent Education
PRIMARY DUTIES AND RESPONSIBILITIES:
The Admin Assistant will serve the church ministry by providing administrative & technological support to the Parent Education Program.
Professional Decorum: Abide by the policies and guidelines in the LCPC Employee Handbook; maintain confidentiality and professionalism in all aspects of job.
ADMINISTRATIVE MANAGEMENT
Office & Program Management: Answer phone calls and emails; order supplies for the program; organize Parent Ed office spaces (cubicle, cupboards, workroom); reserve rooms and submit set up sheets; communicate weekly set-up summary to Buildings and Grounds, book speakers and trainers as needed, create electronic invitations, and support monthly staff meetings. Oversee facilities and equipment (cleanliness, safety, logistics).
Registration Management: Manage online registration: create new registration seasons online, track wait list, immunization records, scholarships, and payment plans. Track registration stats and provide monthly registration report to director and MST. Generate nametags & rosters for teachers.
Database Management: Manage the church-wide database program, Constant Contact email program, and Parent Ed Google Drive. Each semester, update Parent Education database with current participants, donors, underwriters, class reps, and team members (board, staff, MST).
Communications Management: Create Constant Contacts email blasts, LCPC calendar, and web banners. Manage the Parent Education website and social media accounts. Publicize programs and events using social media and press releases. Design “Back to School” Ad for Outlook Newspaper. Update health policy implementation and communication including COVID-19.
Parent Education Support: Make copies and assist staff as needed. Provide Orientation Packets and Classroom Policies for participants. Ensure Policies are annually updated and distributed by August. Attend Board Retreat and Annual Fundraiser. Verify and update pro-bono speaker list. Create annual calendar and class schedule. Design and distribute class courses booklet.
Board Support: Along with designated chairs, create annual calendar for marketing and publicity and assist with promotion of materials as needed. Assist board members as needed with the gala, accessing database lists for auction and invitations, providing promotional materials, and event support. Ensure monthly minutes are stored in PE google drive.
Director Support: Provide assistance as needed; take notes at staff meetings and store/distribute promptly.
SKILLS, QUALIFICATIONS AND COMMITMENTS:
1. Committed Christian and follower of Jesus Christ
2. A love and passion for children, parents, and their families. Able to support the mission, vision, and values of LCPC Parent Education
3. Background in Psychology, Child Development, Education, or related field is a plus but not required.
4. A familiarity with, or a willingness to learn, about the LCPC Parent Education Program (culture, policies/procedure, and history).
5. Computer literacy: proficiency in MS Office (including, but not limited to: Excel, PowerPoint, Publisher)—and capacity to manage Shelby/Planning Center, online registration, and Parent Education database. Proficiency with Adobe (InDesign) and Canva.
6. Basic accounting skills.
7. Proficiency in social media, including but not limited to: Facebook, Twitter, and Instagram.
8. Ability to communicate effectively both orally and in writing.
9. Ability to carry out written and oral instructions.
10. Ability to deal with problems in a positive manner and find effective solutions or seek assistance.
11. Punctuality and dependability as well as professional attire/presentation.
12. Ability to work efficiently and effectively in independent and team situations.
13. Solid time management and organizational skills, adaptability, multi-tasking and flexibility.
14. Ability to provide positive customer service for registrants.
15. Criminal background check as required by LCPC Personnel policies.
16. Negative T.B. test result and CPR/First Aid Certification
