Client Relations Assistant

Office based – Pasadena

Summary:

We are searching for a Client Relations Assistant to serve as administrative and professional support to our accounting practice.

Ideally you are someone with a solid background in a professional office environment who maintains a seasoned professional maturity to handle all sorts of tasks with efficiency, tact, discretion, and a great disposition. If you want to be busy, love to calendar, understand urgency and priority, and adore speaking to clients, this might be the perfect fit for you. You must be organized, and a proactive self-starter. You will be the first point of contact, work well independently as well as collaboratively, and execute projects/requests with minimal supervision in a rapid paced environment. In this role, the majority of your responsibilities will be directly for the Partners, however, you will lightly support the other professional staff, if necessary. This position is full time with some overtime expected during busy season.

Duties and Responsibilities:

Communicate with clients in-person, on the phone, through email or other written correspondence
Scan client documents in accordance with firm protocol
Admin Support for Partners, including calendaring and scheduling
Organizes, prioritizes and archives folders/documents as requested/needed
Respond to requests from internal and external sources with appropriate action using independent judgment
Manage, organize, and safeguard confidential material, displaying the utmost level of discretion and ethical standards
Performs other duties as assigned

Education/Experience:

Bachelor’s Degree
5 Years of Executive Assistant experience
Keen attention and meticulous to detail
Expert organizational and follow-up skills
High proficiency with MS Office, including Word, Excel, and Outlook
Outstanding written and verbal communication skills
High degree of professionalism, integrity, and confidentiality
High energy and a can-do attitude; exhibit a responsible and responsive tenacity
Ability to anticipate needs and solve problems autonomously (and sometimes creatively)
Be a team player
