About the job
The Office Coordinator is a key member of the ECF International Headquarters. This individual is responsible for ensuring the office functions efficiently. It provides support to staff and takes lead in the sending out the organization’s publications and other printed materials.
Administration
In charge of daily office management:
-Answer phones, greet visitors at front desk
-Type, prepare, photocopy printed materials and correspondences
-Sort and distribute incoming mail; prepare outgoing office mail and packages
-Operate & Maintain Office Equipment and Machinery
Manage & maintain ECF Database (address changes/deletions/updates)
Maintain filing system - prepare new folders; update File Records; print new record annually
Prepare & send out Donor Thank you letters/receipts
Update forms and other documents
Purchase necessary office supplies and equipment
Assist with facility upkeep/contact cleaning & repair workers, as needed
Maintain office accounts: Post Office (Business Reply, Deposits, Fee Renewals); Subscriptions to Website Hosting, Domain name & Email services
Act as Project Manager for special projects/events/activities, as assigned
Provide support to Office Staff
Mailing
Take lead in Quarterly mailing of ECF Publications & other materials
-Print, cut and sort labels for all mailings
-Request checks for mailing fees
-Prepare supplies and keep inventory on mailing supplies
-Maintain all mailing records
Program Support
Assist in managing the Child/Student Sponsorship program
-Gather detailed materials & information
-Interact with personnel and all programs
-Process correspondence
Print and Publications
Manage digital photo library
Assist in gathering material for publications
Contact and coordinate with Printer (printing schedules, proof return, and delivery of finished product)
Qualifications:
-2-3 years of experience in a general office setting
-Microsoft Office literacy
-Possess proper personal and phone etiquette
-Excellent written and verbal communication skills
-High School diploma or Associates Degree (Experience equivalency will be considered in lieu of degree)
Status and Salary: Full-time; $36,500 annually
