Overview:
The Bookkeeper & Office Manager helps to support and fulfill the mission, vision, and values of Christ Church East Bay by providing bookkeeping and office management. The Bookkeeper & Office Manager reports to the Director of Operations.
Key Responsibilities:
Bookkeeping
- Make and record bank deposits
- Maintain accurate donor and contribution records
- Pay and record bills and invoices
- Manage bi-monthly payroll
- Manage and pay any applicable taxes, such as payroll taxes and property taxes
- Manage, prepare, and submit any applicable reports, forms, and filings, such as payroll reports, W-2s, and 1099s
- Research and troubleshoot any bookkeeping, accounting, and financial issues
- Maintain filing system
- Categorize and file expenses
- Process reimbursements
- Reconcile bank and credit card statements to accounting records
- Respond to requests for information or research from Treasurer, Stewardship Team, and/or Director of Operations
- Assist in the preparation and distribution of year-end contribution statements
- Ensure accurate and timely accounting, financial reporting, and compliance with all applicable laws, regulations, and Christ Church policies
- Participate in annual budgeting process
- Assist in administering human resources (HR) system and processes:
- Maintain and update employee and independent contractor personnel files
- Track, record, and report employee time-off
- Participate in new-hire onboarding
- Serve as primary contact person in communications with benefits providers, insurance providers, and donors
- Assist in managing employee retirement benefit
Office Management
- Manage the day-to-day operations of the Christ Church office
- Ensure that all employees and ministries have necessary supplies and equipment
- Develop and maintain organized systems
- Maintain the Christ Church facilities at 2138 Cedar Street, which includes the following: (1) Managing upkeep and maintenance of the buildings and grounds; (2) maintaining facility security and safety, including key management and contact information for emergency services; (3) communicating and coordinating as needed with repair, inspection, maintenance, and construction vendors; (4) communicating and coordinating with Christ Church’s Facilities Team.
- Manage the use and rental of the physical spaces of the Christ Church property, which includes the following: (1) Coordinating use of Christ Church property and spaces among various renters, events, and Christ Church staff; (2) being the primary contact person and problem-solver for renters and potential renters; (3) managing relationships and schedules for all events and rentals of the annex building and sanctuary building; (4) ensuring compliance with all ADA regulations and guidelines; (5) maintaining good relationships with renters and neighbors.

Hours: Part-time, non-exempt
Schedule: Monday through Friday, or Sunday through Thursday
Hire contingent on passing a background check and credit check.
